Org charts and manager bots for your Grok Bot team

By Shane M · · 2 min read

In short

Draw an org chart, add a manager bot per business, and set up how managers report back to you.

Once you have more than a handful of Bots across two businesses, reading every update yourself stops scaling. Chapter 4 adds two tools: a drawn org chart and a manager Bot per business.

Draw the chart

Put yourself at the top. Under you, one box per business with its Bots underneath. Off to the side, a box for shared Bots that serve everyone. In the book's story that's ten Bots, two businesses and one shared group. It's the shape of a small holding company, and every new business gets its own box.

If drawing isn't your thing, paste your job cards into a chat and ask a Bot to group them, point out overlaps and say which one is doing two jobs. In the story, that's how the reader learns one research Bot was serving two different audiences and should be split. The Bot sees the cards, not your plans, so you don't have to take every suggestion.

The manager Bot

A manager Bot keeps the business's running page, notices when something is stuck, messages the other Bots on its team to check progress and keeps one tidy list of drafts waiting for your yes. It gets no more power than you'd give a person in that role. Its card says it can't approve anything for you.

Checklist

  1. Draw the chart: you, businesses, Bots under each, a shared group.
  2. Ask a Bot to review your cards for overlaps and double duty.
  3. Add a manager to your busiest business first.
  4. Write the manager's card so it organizes and reminds, but never approves.
  5. When you add a business, draw its box first, then give each new Bot a card from day one.

Adding a third business

With the structure in place, a new business doesn't get messy. The story's third business, a video channel, gets four Bots (research, script, editing and publishing, which drafts titles and the schedule and then waits for you) and borrows the shared design and launch Bots. Fifteen Bots, three businesses, set up in a weekend.
